Skagit Valley College (SVC) is accepting applications for a Program Assistant, Dual Credit (part-time, hourly) position. This is a part-time, hourly position working approximately 15 to 19 hours a week, depending on business needs. The Dual Credit Program Assistant will independently perform a variety of complex clerical projects and assignments in the Enrollment Services office. This position will serve as a support role for three Dual Credit Programs including CTE Dual Credit, College in the High School, and Running Start.
This position will have the opportunity to participate in Dual Credit recruitment activities and other responsibilities involving interaction with faculty, staff, K-12 schools, agencies, students, and the public.  During peak periods of July and August, this position may offer greater support to recruitment activities in collaboration with Enrollment Services staff. This position works under the supervision of the Director of Recruitment and Dual Credit Programs. This position may work occasional evenings and weekends (i.e. up to two Saturdays a quarter) and is required to travel to distant sites.

 Duties and Responsibilities:
 Dual Credit Programs Support
  • Provide administrative and program support to the daily operations of the Dual Credit Programs;
  • Work with school districts to schedule classroom visits;
  • Track enrollments for Dual Credit programs through communications, reports, rosters, other sources, etc.;
  • Track, verify and file student records/documents; upload and input data into Excel, CRM (TargetX) and/or state student database systems and Excel
  • Monitor student information from multiple sources (SMS, TargetX, Excel, SERS);
  • Communicate with high school students participating in dual credit programs as well as SVC employees;
  • Communicate with school personnel to verify enrollment data on a regular basis;
  • Assist with maintaining and distributing up-to-date Dual Credit marketing materials, including print (brochures, posters, and handouts), online brochures, displays, and other related promotional materials;
  • Scheduling appointments for a variety of programs, including K-12 classroom visits, faculty training, staff meetings, and administrator meetings;
  • Provide clerical support to program by emailing, answering, and making phone calls to students and school personnel on behalf of Director;
  • Generate or gather reports of students who need to be contacted for enrollment issues or matriculation efforts and reach out to students on relevant issues.
Recruitment Support Activities
  • Travel with Director to various Dual Credit recruitment and outreach events and participate in recruitment activities including;
  • Conduct school visits to provide information about Dual Programs;
  • May work from the Whidbey Island Campus or San Juan Center in Friday Harbor on San Juan Island;
  • Staff tables for outreach activities;
  • Call Dual Credit participants to assist them in transitioning to post-secondary education;
  • Assist the Director in communicating the benefits of attending Skagit Valley College to interested or prospective students or community members;
  • Respond to inquiries about the intake process and assist prospective students with moving toward enrollment at SVC;
  • Aid the Enrollment Services Department with student retention by completing calling campaigns throughout the academic year;
  • Communicate to new and returning students to help answer questions and meet students' needs at SVC;
  • Document interactions from calling campaigns in TargetX and/or Excel;
  • Make referrals to other Enrollment Services staff as appropriate.
Other Duties
  • Participate in SVC community events such as commencement, Open Houses, etc.;
  • Perform other duties and responsibilities as assigned.
Knowledge, Skills, and Abilities:
Knowledge and/or understanding of:
  • Working knowledge of telephone systems, SharePoint, and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, etc.);
  • Knowledge of applicable State and Federal laws and College policies relating to student confidentiality;
  • Knowledge of other departments at SVC and college resources.

Minimum Qualifications:

  • Associates degree or higher;
  • One (1) year of administrative or clerical experience in an educational environment, public service, hospital, non-profit, or other community-oriented organization;
  • Strong technological skills attained by experience entering high volumes of data from multiple sources in a variety of information systems;
  • Excellent written and verbal communication skills.
  • High school completion/diploma, GED, or equivalent;
  • Two (2) years of administrative or clerical experience in an educational environment, public service, hospital, non-profit, or other community-oriented organization; strong technological skills attained by experience entering high volumes of data from multiple sources in a variety of information systems; and excellent written and verbal communication skills.
Desired Qualifications:

  • One year of experience working in Dual Credit Programs, Enrollment Services, Registration, or Admissions in a community or technical college; Bilingual in Spanish.

Salary and Benefits:
  • Rate of pay is currently $13.50 per hour. This rate of pay is subject to change and a possible increase based on the outcome of a salary scale adjustment for this hourly position type.
  • Eligibility for benefits is in compliance with state rules and regulations.
