  • Overview

    The role of the Administrative Assistant is to provide 50/50 administrative support to The Geneva Foundation’s corporate Grants and Contracts Department (GCD) and Clinical Trials Department (CTD) personnel in accomplishing daily operations.


    • Carry out administrative duties such as filing, copying, faxing, phone calls and emails on behalf of the departments
    • Perform other job-related duties as assigned by the Grants and Contracts Director and/or the Clinical Trials Budget & Contract Manager
    • Regularly serve as additional support for the Grants and Contracts and Clinical Trials Departments which includes, but is not limited to maintaining hard copy study folders including contract documents, awards, amendments and budgets, maintaining electronic files, and supporting GCD and CTS staff in assigned project based work
    • Assist in inputting and modifying information into departments' SharePoint sites
    • Develop SharePoint instructions for new SharePoint lists, libraries, workflows, and maintain SharePoint instruction repository
    • Assist department personnel with the completion and management of annual projects such as file audits
    • Assist in the organization and compilation of necessary materials for department personnel attending site visits
    • Drafts and submits project specific Statement of Work (SOW) and Cooperative Research & Development Agreement (CRADA)
    • Provides support sor contract negotiations and grant agreements with funders, sponsors, contract research organizations and/or site management organizations
    • Participates in the budget process and assists in providing ongoing financial oversight and anaysis for each study program
    • Tracks and processes patient stipends
    • Drafts and submits Data Sharing Agreements (DSA), Confidentiality or Non-Disclosure Agreements (CDA or NDA)
    • Establishes projects in Study Manager and/or other accounting systems and provides system access to new personnel
    • Assists in Study Manager and/or other accounting system financial activities, such as Principal Investigator (PI) allocations and study accruals


    • Associates degree or additional relevant experience
    • Healthcare or medical research background or related experience preferred
    • Knowledge of military system preferred
    • Demonstrated competence in oral and written communication
    • Must be organized, attentive to detail and reliable; possess good judgment and a positive, friendly and professional demeanor
    • Must be flexible with changing priorities and demands, and able to communicate in a diplomatic and professional manner
    • Computer skills including at least intermediate level experience with Microsoft Office Software and Excel, to include use of formulas
    • Familiarity with Adobe, OneNote, SharePoint, Excel, to include use of formulas, and other Microsoft Office Software experience preferred
